Employer guide · After the visit
The visit is finished. What happens next?
A completed appointment and a completed employer order are not always the same thing. Here is how to follow a pending result, report or form without sending an employee back unnecessarily.

| What may be happening | What to ask |
|---|---|
| Visit or specimen collection | Were all ordered services completed? Is a form or specimen missing? |
| Laboratory processing | Has the laboratory received what it needs? Is any follow-up required? |
| Medical Review Officer review, where required | Does the review team need to contact the employee or obtain more information? |
| Report release | Has the permitted report been released through the agreed channel? |
| Employer receipt | Can the authorized employer contact access the report? |
The steps depend on the service. A physical, laboratory test and employer form may finish at different times.
A delay is not a result
Silence does not establish a negative test, and a delay does not establish a positive test. Timing can reflect processing, required review or missing information. Ask for the actual status through the established reporting channel.
For drug testing, a Medical Review Officer may need information from the employee. Clinical details should go to the review or clinical team through its approved process. HR should follow the permitted report and its applicable employment procedures.
A useful status request includes four things
The order you are asking about
Use the order reference and approved reporting channel.
The item still outstanding
Name the result, employer form, signature or service you need.
The correct recipient
Check that the report is going to the authorized, current contact.
The deadline and next update
Explain the relevant deadline and ask who is handling the next step.
Your Nao concierge can help coordinate an unresolved item. For an existing order, use your established support contact so the request reaches the team handling it.
Set up reporting before the first visit
Nao provides an employer portal and automated sharing of permitted results and reports. During program setup, decide which information your team needs, who is authorized to receive it and where to ask about a pending item.
Keep the contact list current when responsibilities change. A report sent to an old inbox can look like an unfinished order even when processing is complete.
Common questions
A little clarity
before you begin.
How long do employee test results take?
The timeline depends on the service, laboratory processing and any required review. Ask about the expected timing for the exact order. A single same-day promise cannot cover every exam, test and employer form.
Does no news mean the employee passed?
No. A missing notification is not a result. Use the authorized reporting channel to check the actual status.
Should the employee repeat a test if HR cannot find the result?
First check the order, status and recipient with the ordering or reporting team. Arrange a repeat test only when the appropriate team confirms that one is needed.
Can all managers see the results?
Access follows the program’s reporting permissions and authorized recipients. Employer reports are separate from private clinical records.
What if the employee has a medical question about the result?
The employee should contact the clinical or review team through its approved channel. A program consultation is not a medical appointment or a substitute for clinical advice.
